To generate a new Regular or Layered Template, on the Template area, we need to click on Start Draft. Then, a Pop Up will appear and we will establish the type of  template as:

  • A Regular Template.
  • A Layered Template.

Once this character is defined, the generation of the template for both types is the same.

On the first step, the title, prefix, description, location, department and a user to execute the audit need to be defined.

These points are the only mandatory ones. If we don't add these points to the draft definition, we will not able to Save our Draft.

Finally, to continue with the definition, we need to click on "Save Draft".

On Audit Responsibility Area, we have two interesting variables to define our Regular template.

  • FIXED ATTRIBUTES: if we have to define an audit specifically designed to be executed on one of the next attributes, we need to define these parameters. For example, if we are defining one specific Manteinance Audit for a specific machine, on the machine area we need to select the specific Machine. In this way, we are defining on Kapture.io that this Audit is only focused to be used against a specific Machine.
    • Location.
    • Department.
    • Section.
    • Project.
    • Part.
    • Machine.

  • VARIABLE ATTRIBUTES: On the other hand, we could find ourselves in the position of defining a standard audit that could be used in multiple areas of a plant. For example, a 5S Regular template to be used in different sections of the plant. If this is our need, we activate the variable attribute and the auditor must specify the selected attributes to be audited. Location attributes  are created and defined in account settings>hierarchy>location>attributes.
    • Department.
    • Section.
    • Resources:
      • Machine.
      • Instrument.
      • Fixture.
      • Device.
    • Part Reference.

Now, we can start defining our Template by adding different chapters and questions.

To add a new chapter is enough selecting the "New Chapter" green button.

Automatically a new chapter appears on our template and then, we are on the disposition of adding information fields or questions:

  • Set weighting: Weight or value of the question with respect to the total
  • Required: if the question is mandatory or not
  • Add picture: possibility to attach pictures to the question during the audit
  • Add image: images added to give visual support to the question
  • Show uploaded image: preview of support pictures

Additional Important Information:

  1. Total Points - Percentage: we can define the way in which we want to analyze our Audit result. Do we want to analyze our final mark with points (Example, 67/75)? Is easier for us to analyze our marks against a percentage (%)?
  2. Segments: we can establish different ranges to give a final evaluation to the Audit. For example, 0-65 NOK, 65-72 WARNING, 72-75 OK.
  3. Finally, we have two different options:
    • Save Draft: if our template is not finished and we need to continue defining the template later, we need to save our changes as a draft. Once published, all modifications on the template will increase the version number of the template.
    • Publish: once the template is completely defined, we should publish it in order to start executing our audits.
