• Why would I assign a user as a Viewer to Control Guide?

If a local operator or viewer or a user from another location/Plant are required to view the active data from any Control Guide but not permitted to edit it, they can be assigned as a Viewer to it.


  • How do I assign a user as a Viewer to Control Guide?

There are three ways to do this: 


1. To share multiple control guides to specific users


i) If you have rights to Account settings and Users this is most simple and quick way to assign them. Go to the Account settings and enter the specific User. Make sure they have one the following roles added: Viewer or Manager role (to understand more about roles, see here)




ii) When a user has Viewer permissions (VI), the "Assigned as Viewer" section is shown. In this section the Viewings assigned to this user can be managed. 


By clicking on the button "add Viewing" the user can be allowed to View to a specific Control Guide or all the Control Guides in a Customer, Project or Part. 

Remember: Viewer can only see active data and cannot see editions nor archived samples.



Once the User has been assigned to a Control Guide, their Viewing can be managed directly in the table that appears: see below



Simply by clicking on a section, such as Project_1_Building you can either: click on buttons below to add another project, remove the selected one or open the Viewing window to edit this one.  All changes made will instantly affect this User.



2. Group of users to any Control Guides with Teams


i) Create a Team and add the users to this team. This step must be done by and admin user (to understand more about teams, see here)

ii) Add the Team as a Member of the Customer (see image below)



iii) Now you can add this Team to the different Control Guides in this Customer. For this, go to Control Guide Settings/User/Viewer section:



Once here, any team assigned as a member of this customer can be added as viewer by clicking on "Add/Remove Teams"



This initial setup means that all the Users in this Team will added to all the selected Control Plans automatically, and any new ones which the Team is added to. 


3. Individual users to individual Control Guides


i) Before starting, make sure that the user has one of the following roles added: Viewer or Manager role (to understand more about roles, see here)

    

ii) Now an Admin or Manager user can go to the Customer and add this user as a member, as shown below in the image:  


iii) The next and final step is to go to every single Control Guide Settings page in the Users section and assign the user as a Viewer. If the user is not previously add as a member of the customer this step will not work.
